A MISSION TO MODERNISE.
When Colleen Scullion joined Marcon in 2022 as Business Innovation and Systems Manager, she was brought in to do one thing above all: support the business through its digital transformation. Her job was to map the processes, run the gap analysis, identify what needed to be improved and roll out the systems to support it, with training and IT support.
What she found was a business strong on delivery but still heavily reliant on paper-based processes. Inductions were eating into site time, photos and site files were going missing, and too much lived in folders that never made it back to the office. "As the business continued to grow, we knew we needed systems and processes that could grow with us. Updating the way we worked was the natural next step."
ONE SYSTEM THAT COULD COPE WITH EVERYTHING.
Marcon's mix of short and long projects ruled out anything rigid. A permanent turnstile setup makes no sense on an eight week fit out where you might not even have full control of the building, but the business still needed the same level of control on a quick-serve restaurant as it had on an 18 month heritage build.
"I reviewed around 10 different systems at the time," Colleen recalls, "and innDex was the best fit for how we operate." The first job innDex was brought in to tackle was the morning bottleneck, with operatives standing around on site for an hour getting inducted before they could lift a tool. That was the original brief, and it was delivered straight away. Everything since has been built on that first win. By 2023 Marcon was live on innDex, and three years on, innDex is simply how the business runs.
INDUCTED BEFORE THEY HIT THE GATE.
The old induction meant turning up, filling out forms on site and queuing one by one to have CSCS or CSR cards checked. Arrive without the right card and that was another form, and more waiting.
Marcon has flipped that entirely. RAMS are now uploaded a week before a team is due, and inductions are completed 24 hours ahead, which means a site manager can see exactly who is coming and whether they are ready. If an electrician's induction is not sitting waiting for approval, the site manager can chase the subcontractor that day rather than discover the gap at the gate. As Colleen puts it, it is the difference between a planned arrival and "someone standing on site waiting for paperwork to be checked or sent through."
BRIEFINGS WITHOUT THE PAPER TRAIL.
For RAMS and toolbox talks, Marcon leans heavily on the innDex briefing tool, and the appeal is that it changes nothing about how a briefing actually works. "The process itself has not changed. The site manager still talks the team through the information," Colleen explains. "The difference is that the record is signed electronically and stored straight away." Same conversation, same sign off, no paper.
Nothing gets lost on the way back to the office, and when an inspector turns up, internal or external, every briefing that was ever given is there to be pulled up. A process that used to leave a trail of loose paper now leaves an audit trail.
FULL VISIBILITY, IN REAL TIME.
The biggest shift has been visibility. Site information used to sit on someone's device or in a folder until the end of a job, but in innDex it lands the moment it is done. "There's no need to transfer information later. Once it is captured in innDex, it is there for the people who need it," Colleen says.
That gives the management team a live read on every project, who is clocked in, which inspections are done, what toolbox talks have been given and what the latest photos show. The team is steadily pulling its progress photos onto the platform too, building one reliable picture of each site instead of scattering updates across personal phones.
DATA THAT DRIVES DECISIONS.
That live picture is where the time really comes back. Marcon's SHEQ manager no longer drives from site to site every other week to check work is happening, because the site managers and contract managers complete their inspections in innDex and the reports come to him automatically. The oversight stayed, the wasted time disappeared.
The same is true further down the chain. Contract managers can see who is on each site and what is still outstanding, quantity surveyors can verify timesheets against attendance, and payroll has sped up now that the team feeds clean attendance data straight into its payroll system. "We have seen efficiency gains across the business. It is not just one department that benefits," Colleen says.
CATCHING WHAT PAPER MISSED: FROM REACTIVE TO PREVENTATIVE.
There is a compliance benefit in all this too. In the paper days, a missed inspection might go unnoticed until a site file came back to the office, if it ever did. Now the gaps are obvious in real time. "We can see what has and has not been completed," Colleen explains, "meaning we can pick things up quickly, understand why they have happened, and put them right before they become a bigger issue." Oversight has gone from a retrospective paper chase to something genuinely preventative.
BRINGING THE WHOLE TEAM ALONG.
Marcon has been clear eyed about the human side of change. The people who were tech savvy took to innDex fast and sang its praises, while site managers who have spent 10 or 15 years on the tools, never touching paperwork have needed more support, and the business treats that as exactly what it is, a new skill.
So nobody is left to sink or swim. Every site manager gets one-to-one training and user guides to start, with phone support. "We expect people to need support at the start. If a new Site Manager is not asking questions in the first couple of weeks," Colleen says, "that usually tells me I need to check in." Contract Managers keep checking in, and the SHEQ team now runs refresher inspections and toolbox talks on site, walking teams through anything that trips them up.
BUILDING ON STRONG FOUNDATIONS.
Three years in, innDex is now embedded in day-to-day operations, and Marcon is still finding new ground to cover. A move to SharePoint is on the horizon, and Colleen wants innDex data flowing into it automatically so records stay accessible for years. "innDex is ticking a lot of the boxes for us. The next step is making sure the information continues to support the wider systems we use as a business," she says.

It has handed the business real-time visibility, faster reporting, stronger compliance and a single source of truth across every job, whether that is an eight week restaurant fit-out or a year long heritage build.
