A MISSION TO MODERNISE.

When Colleen Scullion joined Marcon in 2021 as Business Innovation and Systems Manager, part of her role was to support the business through its digital transformation programme. That meant reviewing existing processes, identifying opportunities for improvement, strengthening system integration, and helping to roll out the digital tools needed to support future growth.

For Marcon, the aim was not to change what already made the business successful. It was to make sure the systems around the work could keep pace with the scale and complexity of the projects being delivered.

Colleen says:

"As the business continued to grow, we knew the systems and processes around it had to grow too. Updating the way we worked was the natural next step."

ONE SYSTEM THAT FITTED THE WAY MARCON OPERATES.

Marcon’s portfolio ranges from fast-paced fit-out projects to more complex museum and hospitality developments with extended timelines. That meant the business needed a system that could flex across different project types, client requirements, and site environments without introducing unnecessary complexity.

A permanent turnstile setup, for example, does not suit every fast-paced fit-out or where Marcon may not have full control of the building. But the business still needed the same level of control and visibility across projects of all sizes.

"I reviewed around 10 different systems at the time, and innDex was the best fit for how we actually operate on site," Colleen recalls.

One of the first areas Marcon wanted to strengthen was workforce mobilisation. Site teams already had established processes for inductions, card checks and site readiness, but innDex helped move more of this activity ahead of arrival. That meant teams could prepare earlier, check information sooner and create a smoother and more efficient start on site.

The early benefits were realised quickly, leading to wider use of the platform across project delivery, workforce management, inspections, reporting, and compliance activities.

By 2023, innDex had been successfully implemented across the business and today forms an important part of Marcon's wider digital project delivery and management framework.

INDUCTED BEFORE ARRIVAL.

Marcon now uses digital pre-enrolment and induction processes in innDex to improve workforce planning, mobilisation, and site readiness across its projects.

RAMS can be uploaded before a team is due on site, and site-specific inductions can be completed in advance. This gives Site Managers better visibility of who is coming, what information has been provided and whether anything is still outstanding.

If an electrician’s induction is not ready for approval, the Site Manager can chase the subcontractor before they arrive rather than discovering the issue at the gate.

The result is a more efficient mobilisation process, fewer delays at project start-up and less administrative pressure on site teams.

For Colleen, the value is clear: "The biggest benefit is visibility. Site managers can see what is outstanding before people arrive, so issues can be picked up early rather than causing delays on site."

DIGITAL BRIEFINGS AND IMPROVED TRACEABILITY.

Marcon uses the innDex briefing tool to support delivery and recording of RAMS briefings, toolbox talks, and workforce communications across its projects.

The briefing process itself has not changed. Site Managers still talk operatives and subcontractors through the relevant information, risks, controls, and expectations. The difference is what happens afterwards. Records are captured electronically and become immediately accessible to authorised personnel.

Colleen explains, "The conversations and engagement on site remain the same. The difference is that the record is captured instantly and available when it’s needed."

When an inspector, auditor or internal manager needs evidence of a briefing or inspection, the record can be accessed quickly. Nothing needs to be brought back to the office, scanned, filed, or chased later.

The platform supports, rather than replaces, existing management, assurance, and site supervision processes. It strengthens how information is captured, stored, and accessed, while keeping the focus on direct engagement with teams on site.

IMPROVED VISIBILITY AND REPORTING.

One of the biggest changes has been improved operational visibility.

Information that was previously gathered through multiple reporting channels is now available through a centralised platform. Site attendance records, inspections, briefings, photographs, and project documentation can be viewed in near real time, giving teams a clearer picture of what is happening across live projects.

For Contract Managers, that means better visibility of who is on site, what has been completed and what still needs attention. For Quantity Surveyors, attendance information can support timesheet checks. For payroll, cleaner attendance data helps speed up the process and provides better assurance around workforce records.

That visibility has made a real difference: "The biggest advantage is that information becomes available much sooner. The right people can access it when they need it, which helps us make better decisions across the business."

DATA THAT SUPPORTS BETTER DECISIONS.

The value of innDex is not just in recording information. It is in making that information available early enough for teams to act on it.

Site Managers and Contract Managers can record inspections, workforce attendance, project activities, and key operational information directly within the platform. Reports are then available to the people who need them without waiting for paper records or manual updates.

That timely access supports review and verification by operational, Contract Management and SHEQ teams. It helps management spend less time gathering updates and more time focused on assurance, engagement, and continuous improvement.

For the SHEQ and wider operational teams, it has also reduced the administrative effort involved in gathering records, checking completion of inspections and briefings, and following up on outstanding information.

This gives Marcon earlier visibility of outstanding actions and activities requiring follow-up. If something has not been completed, the team can see it sooner, understand why, and take action before it causes delays or creates additional pressure on site.

Colleen adds, "We’ve seen efficiency gains across the business. The benefits extend beyond project delivery and support multiple functions across the organisation."

BRINGING THE WHOLE TEAM ALONG.

Marcon has also recognised that successful digital transformation depends on people, not just systems.

Some users adopted innDex quickly, while others needed more support. Site Managers who had spent years on the tools and had limited exposure to digital systems needed time, training, and reassurance as new processes were introduced.

To support this, Marcon provided one-to-one training, user guides, and ongoing phone support. Contract Managers and the SHEQ team also continue to support adoption on site.

This approach has helped embed innDex into day-to-day operations rather than treating it as a separate system sitting outside the way projects are run.

BUILDING ON STRONG FOUNDATIONS.

Three years on, innDex has become an established part of Marcon's digital project delivery and reporting processes. The business continues to explore opportunities to further enhance integration across its wider technology landscape.

The next phase includes linking innDex more closely with SharePoint and other business systems to improve accessibility, document management, information governance, and long-term retention of project information.

Looking ahead, Colleen says: "innDex is supporting many of the objectives we set out to achieve. The next step is making sure that information connects properly with our wider systems and continues to support the business long term."

For Marcon, digital transformation has been about more than replacing paper-based processes. It has been about improving visibility, strengthening information management, increasing efficiency, and giving teams timely access to the information they need to support project delivery.
