innDex and Ivy Technology Partnership.
The partnership between innDex and Ivy technology first began when Matthew discovered innDex through a general building contractor, who was serving as the primary site contractor, they were primarily using the innDex platform for site inductions. While there were several other health and safety-specific platforms available, Matthew felt that many tend to be overly complex. In contrast, innDex stood out for its intuitive interface and mobile-friendly design, an important factor given that nearly everyone on site has access to a smartphone. Matthew was quick to see its potential to transform how Ivy could manage Health & Safety on their sites, from inductions to RAMS and site records.
The Challenge:
Before adopting innDex, Ivy Technology’ project teams encountered several operational challenges that hindered efficiency and compliance across their sites.
- Paper-based RAMS:
Risk Assessments and Method Statements (RAMS) were traditionally handled on paper, with printed documents distributed and signed in person on the first day of work. For large project teams, this process often consumed several hours and could effectively write off the entire first day. Additionally, language barriers frequently made it difficult to confirm that everyone fully understood the safety information provided.
- Inefficient onboarding:
The onboarding process relied heavily on physical paperwork, requiring multiple printed copies, signatures, and manual filing. This created unnecessary administrative work and made it difficult to retrieve any information from previous projects when needed, especially for audits or follow-up checks.
- Manual attendance tracking:
Attendance was tracked using visual roll calls or by scanning physical barcode cards, what was time consuming and labour intensive. If these cards were misplaced or forgotten, it could lead to time lost in correcting records.
- Compliance:
Centralising record keeping is essential for maintaining compliance and ensuring easy access to critical information across projects. However, without the right tools, this process became highly administrative and time-consuming, placing a significant burden on project managers who are already juggling the demands of multiple projects.
The Solution: Streamlining site management and projects.
Ivy Technology adopted the innDex platform for its simplicity, intuitive design, and mobile-friendly interface, making it easy for teams to access and use on-site. The platform offered a clear solution to several key challenges, enabling Ivy to streamline site inductions, digitise RAMS, and centralise time tracking and site records. innDex also provides a scalable, user-friendly tool that enhanced efficiency across their global projects.
The implementation began with a pilot project in early 2024 in Europe, focusing on digitising RAMS to replace the previous paper-based process. From there, Ivy Technology developed standardised project templates that included all relevant policies, RAMS, and induction videos, and used the innDex platform to share and ensure consistency across sites. A key step was introducing mandatory e-signature completion before workers arrived on site, allowing teams to start work immediately without administrative delays.
Expanding use of innDex to improve H&S management
Towards the end of 2024, Ivy Technology expanded their use of the innDex platform to include digital time tracking. This move went beyond simply streamlining working hours processes, it played a crucial role in enhancing site safety and improving compliance. Accurate, real-time visibility of who is on or off site is vital, particularly in the event of a fire or other emergency. By leveraging innDex for time tracking, Ivy Technology strengthened their ability to respond quickly in critical situations while also ensuring greater accountability and operational efficiency across their projects.
Throughout the rollout, Ivy’s US and EU teams received ongoing hands-on training, remote and further support from the innDex team, helping embed the platform into their day-to-day operations, for example Ivy Technology had a growing need for more in-depth H&S data to support their internal requirements and performance tracking. innDex developed a custom background process that automatically extracts the specific data points required. These tailored reports are delivered monthly, giving Ivy Technology consistent access to the insights they need without additional manual effort.
Today, Ivy continues their global expansion using innDex in North America and Europe including countries such as Spain, Germany, Poland, Czechia and Italy.
The Impact
- Turning 1 day into 15 minutes
The RAMS setup process, which previously consumed an entire day, can now be completed in approximately 15 minutes. Workers can arrive on site already fully inducted and signed off. This shift has also eliminated the need for long queues to read and sign paperwork on-site.
- Improved compliance & record keeping
Digital records and signatures are now instantly accessible for audits and customer requests, making compliance checks far more efficient. It has also become easier to demonstrate KPI compliance and maintain comprehensive safety documentation, ensuring a higher standard of accountability across projects.
- Streamlined attendance
Barcode cards and manual visual roll calls have been replaced with a reliable digital attendance system, providing clear digital attendance records that can be used for accurate time allocation and reporting.
- Scalable across regions
innDex has been rolled out across Europe, the United Kingdom, the United States, and Canada. This approach ensures consistent safety standards and unified project documentation across all sites, making the solution highly scalable and adaptable to different regions.
